Upon opening a new Microsoft To-Do account, the application doesn’t look anything special. But as you go on using the program, you’ll be able to find hidden features, customization options, themes, and preset categories, such as Lists, Tasks, Important, Planned, My Day, and Assigned To You.
What’s the ‘Planned’ section?
Certain preset categories are mentioned on the left-side navigation pane. The ‘Planned’ category displays all the tasks to be completed on a specific day. From here, you can also access upcoming tasks. This is the section that will take up most of your time on the app.
While organizing tasks to individual lists, you’ll be able to assign reminders and due dates. Everything with a reminder or due date of ‘today’ will be visible in the ‘Today’ section under the ‘Planned’ category.
The concept is like a basic daily planner. Once you’re done finishing everything for ‘Today’, you’ll be able to proceed to tasks listed under ‘Tomorrow’, and so on.
How to create New Lists and Tasks?
The biggest advantage of using Microsoft To-Do is the simplicity of managing all the lists, tasks, and groups. Simply put, lists are a collection of organized tasks. You can group them by theme, company, project, or in any way you prefer.
To create a new list, you need to scroll to the bottom of the left-hand navigation pane. A ‘+ New List’ button will be clearly visible. You just click on it, enter the name of the list, and press ‘Ok’.
Almost instantly, the new list will show up in the navigation panel with a blue icon right next to it. The next step is to create a new task inside a list. Just choose the ‘Add a task’ link, start typing the details, and press ‘Enter’ when you’re done.
The program lets you edit task details in multiple categories, including the addition of reminders, different ringtones, duration, date, time, importance, etc.
How to create Task Groups?
Unlike most productivity tools, Microsoft To-Do download comes with the functionality to create task groups. You can club multiple task lists under a single category. For instance, if you work in a regular job but also manage a blog to earn some side money, you can club all the tasks meant for the blog under one category.
Task groups help you keep track of specific chores while avoiding the confusion caused by overlapping different items. To group task lists, you need more than one list in the app. Next, you just select the icon with a box and a ‘+’ beside the ‘New List’ field. This is the ‘Create Group’ icon.
All you need to do is type the name of the group, click ‘Enter’, drag two or more task lists into this group, and press ‘Ok’. That’s all! Once you do this, you’ll be able to access multiple tasks in a group at the same time. Once again, you can set different parameters, such as importance, day, time, etc. to manage the tasks as per your convenience.
These days, you can choose from various daily planners online. Some popular choices include ToDoList, To-Do List for Windows 10, and TickTick. Trello and Google Calendar have also been leading the way for users from around the world.
However, Microsoft To-Do remains the native application for Windows computers. With a simple interface, multiple customization options, themes, and free usage, the program is an excellent choice to keep your life organized.
